The hidden work inside invoice intake.

An invoice arrives once. The same information may be handled many times before anyone can approve it.

Start at the actual arrival point

Follow an invoice from the inbox, portal, or paper document where it first appears. Record who opens it, where its details are entered, and which system holds its current status. The written procedure may begin after several manual steps have already happened.

Separate the ordinary from the exception

A complete invoice with a matching purchase order is a different task from an invoice with missing information. Map both. An exception queue needs a reason, an owner, and a next action so the same document does not circulate without progress.

Choose the smallest useful change

Existing intake features or system integrations may remove repeated entry. AI can assist with extracting fields from varied documents, with validation and review where needed. Approval rules, payment authority, and uncertain matches stay explicit.

Measure handling, waiting, and rework

Track how much human attention each invoice consumes, how long it waits, and how often it returns for correction. These are different measures. A shorter queue can improve elapsed time without releasing the same number of employee-hours.
